Your Vacation Auto Response Message Is Probably Wrong

Published by Justin at 7:01 am under Usability

Most workers don’t setup email vacation auto-replies correctly, and typical commit a few usability gaffes in these auto-responders.

Here are few helpful guidelines when configuring your auto-response:

  1. Be absolutely clear to the reader exactly what date you are back at your desk reading email;
  2. Recipients should only receive a repeat response once every 5 days;
  3. Include coverage contact information; and,
  4. Always include the original subject line in the auto-response email.

Guidelines 1 through 3 are a simple matter of professional manners and responsibility.

Guideline 4 is important for two reasons: including the original subject line reminds the recipient of the source email that generated the message (and thus roughly what date they discovered you were on vacation). In addition, including the subject line decreases spam when vacation responses are sent to email addresses that feed into issue tracking systems.
